ClassReel Privacy Policy

N. Woolard Works, operating the ClassReel service, provides an educational service designed to help teachers create classroom assignments in which students can submit video, audio, photographs, images, and other teacher-requested media. ClassReel also allows authorized teachers and family members to access those submissions for a limited period.

ClassReel is designed to minimize the personal information required from students, restrict access to student submissions, and automatically delete submitted media after a limited retention period.

1. Information We Collect

Teacher Account Information

Teachers who create ClassReel accounts may provide information such as:

  • Name
  • Email address
  • Account and authentication information
  • Subscription and billing-related information
  • Projects, assignments, settings, and other content created through their account

Student Submission Information

Students do not need individual ClassReel accounts to complete teacher-created assignments.

Depending on the assignment created by the teacher, a student submission may include:

  • Student name or other teacher-requested identifier
  • Video recordings
  • Audio recordings
  • Photographs or images
  • Responses to individual parts of structured assignments
  • Information necessary to associate the submission with the appropriate project

Video, photographs, and audio containing a child's image or voice may constitute personal information.

ClassReel is designed so that students are not required to provide more personal information than is reasonably necessary to complete the educational activity.

Family Access

ClassReel may generate an access code associated with a student submission so that a parent, guardian, or other intended recipient can access that submission.

Family members do not need to create ClassReel accounts simply to use a valid access code.

Technical Information

ClassReel and its service providers may process limited technical information necessary to operate, secure, and maintain the service. This may include information such as IP address, browser or device information, timestamps, request logs, and security-related information.

ClassReel does not use student information to create behavioral advertising profiles.

2. How We Use Information

ClassReel uses information only as reasonably necessary to:

  • Receive and process classroom submissions;
  • Provide teacher-created projects and assignments;
  • Allow authorized teachers to access and manage submissions;
  • Allow authorized family members to access submissions;
  • Process video, audio, images, and structured submissions;
  • Generate combined recordings or photo-and-audio presentation videos when requested;
  • Provide downloads and other teacher-requested classroom features;
  • Operate teacher accounts and subscriptions;
  • Send account verification and service-related communications;
  • Provide customer support;
  • Maintain, troubleshoot, secure, and improve the reliability of the service;
  • Prevent abuse, fraud, or unauthorized access; and
  • Comply with applicable legal obligations.

Student personal information is not used for behavioral advertising or unrelated commercial purposes.

3. Student Accounts

Students are not required to create individual ClassReel accounts.

Students ordinarily access an assignment through a link, QR code, or other access method provided by their teacher and submit the requested material directly through that project.

This design is intended to reduce the amount of account and identifying information collected directly from students.

4. How Student Submissions Are Shared

Student submissions are not intended to be publicly available.

Depending on the applicable project and access settings, submissions may be accessible to:

  • The teacher responsible for the project;
  • A parent, guardian, or other intended person who has been provided the applicable family access code; and
  • Authorized ClassReel personnel when access is reasonably necessary to operate, secure, troubleshoot, support, or maintain the service, respond to a valid privacy or deletion request, investigate abuse or security concerns, or comply with applicable law.

Family access codes should be treated as private. A person possessing a valid access code may be able to access the associated submission during its availability period.

ClassReel does not make student submissions publicly searchable or intentionally publish them for general public viewing.

5. ClassReel Administrative Access

ClassReel's infrastructure may technically permit authorized ClassReel administrators to access stored information.

ClassReel does not use this access to routinely browse or view student submissions.

Administrative access to student information is limited to legitimate operational purposes such as troubleshooting, customer support, security and abuse investigations, deletion or privacy requests, maintaining the service, or complying with legal obligations.

ClassReel seeks to minimize administrative access to student information and maintain reasonable safeguards against unauthorized access.

6. Media Processing and Generated Presentations

ClassReel may process submitted media to provide teacher-requested features.

For example, ClassReel may:

  • Combine multiple video clips into one finished video;
  • Combine multiple audio recordings;
  • Process audio-only submissions; and
  • Generate a presentation video that displays submitted photographs or images while corresponding student audio plays.

Generated presentation videos are additional versions of the student's submitted material and are subject to the same privacy protections and applicable retention period as the associated submission.

Generating a presentation does not make the submission public or begin a new retention period.

7. Data Retention and Deletion

ClassReel is designed to retain student media for a limited period rather than indefinitely.

Under the current service:

  • Free-plan submissions are scheduled for automatic deletion after 10 days.
  • Pro-plan submissions are scheduled for automatic deletion after 30 days.

The applicable retention period begins according to ClassReel's processing and publication workflow. For submissions requiring media processing, the availability period may begin when processing is completed and the submission becomes available.

Generated presentation videos and other processed versions of a submission expire with the underlying submission rather than beginning a new independent retention period.

Teachers and families should download any media they wish to retain before its scheduled deletion date.

When the applicable retention period expires, ClassReel's automated deletion processes remove the associated active student media from ClassReel's storage.

Temporary media files used during processing are removed through ClassReel's processing and cleanup systems. ClassReel also uses cleanup processes designed to identify and remove abandoned temporary files and orphaned processed media that are no longer associated with an active submission.

Certain limited information may be retained when reasonably necessary for legitimate operational, security, billing, fraud-prevention, recordkeeping, or legal purposes.

Deleted information may also remain temporarily in service-provider backups, disaster-recovery systems, logs, or similar infrastructure until those copies are overwritten or expire according to the applicable provider's retention practices. Such copies are not intended to be used as active ClassReel content.

ClassReel does not intentionally retain active student media longer than reasonably necessary for the educational purpose for which it was collected.

8. Analytics

ClassReel uses privacy-focused, cookieless web analytics on certain public and teacher-facing pages to understand general site usage, diagnose performance, and improve the service.

ClassReel's analytics implementation is disabled on the student recording experience and family unlock experience.

ClassReel does not use this analytics information to create advertising profiles of students or families.

9. Service Providers

ClassReel uses third-party service providers and cloud infrastructure to operate the service. These providers may process information on ClassReel's behalf when necessary to provide their respective services.

These services may include:

  • Website and application hosting;
  • Database infrastructure;
  • Private media storage;
  • Cloud video and audio processing;
  • Email delivery;
  • Payment processing;
  • Rate limiting and security infrastructure;
  • Privacy-focused website analytics; and
  • Other technical infrastructure necessary to operate ClassReel.

ClassReel seeks to use service providers capable of appropriately protecting the information they process.

ClassReel does not authorize service providers to use student information for behavioral advertising or unrelated commercial purposes.

10. Sale of Information and Advertising

ClassReel does not sell student personal information.

ClassReel does not use student videos, audio recordings, photographs, classroom submissions, or other student personal information for targeted or behavioral advertising.

ClassReel does not build advertising profiles from student submissions.

Student information collected through ClassReel is used to provide, secure, maintain, and support the educational service.

11. Children's Privacy and COPPA

ClassReel is designed for educational use and may process personal information from children under 13 as part of school- or teacher-directed classroom activities.

The Children's Online Privacy Protection Act ("COPPA") imposes requirements on covered online services concerning the collection, use, disclosure, security, retention, and deletion of personal information from children under 13.

In circumstances permitted by COPPA, a school or school district may authorize the collection of student personal information on behalf of parents when ClassReel is used for the use and benefit of the school and the information is used only for the school-authorized educational purpose and not for unrelated commercial purposes.

ClassReel does not use student personal information collected through school-authorized use for behavioral advertising or unrelated commercial purposes.

Where ClassReel relies on school authorization as permitted by COPPA, ClassReel will provide appropriate information about its collection, use, and disclosure practices and will honor applicable rights concerning review, deletion, and further collection or use.

Responsibility for N. Woolard Works' compliance with legal obligations applicable to the ClassReel service remains with N. Woolard Works and is not transferred to teachers, schools, parents, or students.

Schools and teachers remain responsible for following their own applicable school or district policies and determining whether they have appropriate authorization to use ClassReel with their students.

12. FERPA and Education Records

The Family Educational Rights and Privacy Act ("FERPA") applies to qualifying educational agencies and institutions and protects certain education records maintained by those institutions.

When ClassReel is used by a school in connection with education records, ClassReel intends to process information only for the educational purposes for which it was provided and consistent with applicable school instructions and legal requirements.

Where applicable, schools may use third-party providers to perform institutional services or functions under FERPA subject to requirements concerning control, legitimate educational interests, use, and redisclosure of education-record information.

Schools and school districts are responsible for determining whether their use of ClassReel complies with their FERPA obligations, local policies, contracts, and other applicable requirements.

13. Security

ClassReel uses reasonable administrative and technical measures designed to protect information against unauthorized access, disclosure, alteration, loss, or destruction.

Depending on the feature, these measures may include:

  • Private media storage;
  • Restricted media-serving routes;
  • Teacher account authentication;
  • Email verification;
  • Session controls;
  • Server-side authorization;
  • Family access codes;
  • Rate limiting and protections against automated access attempts;
  • Limited media retention;
  • Automatic deletion and cleanup processes;
  • Restricted administrative functionality; and
  • Authentication between ClassReel and its media-processing infrastructure.

No online service can guarantee absolute security, and ClassReel cannot guarantee that unauthorized access or loss will never occur.

14. Teacher and School Responsibilities

Teachers and schools should use ClassReel only for legitimate educational purposes and in accordance with applicable school or district policies.

Teachers and schools should:

  • Obtain any school, district, parent, or other authorization required for their particular use;
  • Avoid requesting unnecessary personal information from students;
  • Protect teacher account credentials;
  • Share project links and family access codes appropriately;
  • Download media they need to retain before automatic deletion; and
  • Follow applicable requirements concerning student records and media.

Schools and school districts should evaluate ClassReel's privacy and security practices before authorizing its use where required by their policies or applicable law.

15. Parent and Guardian Rights and Requests

Parents and guardians may contact ClassReel with questions or requests concerning personal information associated with their child.

Depending on applicable law and the circumstances, this may include requests to:

  • Learn what types of personal information ClassReel collects;
  • Review personal information concerning their child;
  • Request correction where appropriate;
  • Request deletion of personal information; or
  • Request that further collection or use of the child's personal information cease.

ClassReel may take reasonable steps to verify the identity and authority of a person making a request before providing access to or deleting student information.

When information is controlled by a school or teacher, ClassReel may coordinate with or direct the requester to the appropriate school or teacher when appropriate, while honoring ClassReel's own applicable legal obligations.

16. Payments and Subscriptions

ClassReel may offer paid teacher subscriptions.

Payment transactions are processed through a third-party payment processor. ClassReel does not store complete payment-card numbers submitted to the payment processor.

Limited payment, subscription, and transaction records may be retained as reasonably necessary for billing, accounting, fraud prevention, customer support, and legal obligations.

17. Support and Communications

Teachers and other users may provide contact information when communicating with ClassReel through account features or the Questions / Concerns form.

ClassReel uses this information to respond to the communication and provide support.

Support communications are not used to create advertising profiles.

18. Privacy Questions and Requests

Questions, concerns, or privacy-related requests may be submitted through the Questions / Concerns feature on the ClassReel website.

ClassReel may request additional information when reasonably necessary to verify identity or authority before responding to a request involving student information.

19. Changes to This Privacy Policy

ClassReel may update this Privacy Policy as the service changes, its practices evolve, or applicable legal requirements change.

The effective date at the top of this policy will be updated when the policy changes.

When appropriate or legally required, ClassReel may provide additional notice of material changes.

If a change requires additional consent under applicable law, ClassReel will seek that consent before applying the changed practice where required.
